Best HVAC Proposal Software (2026)

For residential HVAC contractors who want to present options and close at the kitchen table. We compared six tools on how they build Good/Better/Best options, where the prices come from, how the homeowner signs and pays, and whether there is real engineering behind the equipment. Every fact links to the vendor's own site and was checked on October 16, 2026.

Disclosure: Tradewright is our product. Tradewright is not a CRM; it works alongside Housecall Pro, Jobber, FieldEdge, ServiceTitan or no CRM. We have described every other product as fairly as we can.

Updated October 16, 2026Written by the Tradewright team. Tradewright makes one of the products compared here; we say so wherever it matters.

How we compared these tools (methodology)

We used only each vendor's public website and help centre. No paid trials, private quotes or third-party review sites.

  • Options. Can a salesperson present Good/Better/Best (or more) options side by side?
  • Engineering. Is there a Manual J load calculation, Manual S equipment selection, or a long-term cost comparison behind the options?
  • Pricing source. Do prices come from your own price book or flat-rate book?
  • Closing. E-signature, payment collection and consumer financing.
  • Fit. Is it a CRM or field service management (FSM) platform itself, and does it work with others? Is there a mobile or tablet experience for the kitchen table?
  • Price. Exactly as listed, or "not publicly listed".

"Not stated" means we could not find it on the vendor's public site, not that the product cannot do it.

Questions

What is HVAC proposal software?

HVAC proposal software helps a salesperson build and present system options to a homeowner, usually as Good/Better/Best, with equipment, scope, price, rebates and financing, and then collect a signature and deposit. Some tools also calculate the load and select equipment; others only format and price the proposal.

Do I need a CRM to use HVAC proposal software?

Not always. Proposal-focused tools such as OnCall Air and Tradewright work alongside a CRM or field service platform, and Tradewright also works with no CRM at all. Platforms such as Housecall Pro, ServiceTitan and FieldEdge include proposals inside the CRM.

Can I use PandaDoc for HVAC proposals?

Yes. PandaDoc handles documents, pricing tables, multiple-choice options, e-signature and payments. It does not calculate loads, select equipment or compare systems, so you need to bring the engineering and HVAC pricing yourself.

What should a good Good/Better/Best HVAC proposal include?

Three complete systems that each fit the home's load, with equipment and efficiency ratings, capacity at design temperature, scope of work, warranty, price, estimated rebates, monthly financing, what is excluded, and a clear place to choose and sign. Our free HVAC proposal template has all of these sections.

Which HVAC proposal software includes Manual J?

As of October 16, 2026, Tradewright includes room-by-room Manual J. ServiceTitan offers Manual J through Conduit, which it announced it was acquiring in September 2025. We did not find Manual J stated on the OnCall Air, Housecall Pro, FieldEdge or PandaDoc sites.

Is Tradewright a CRM?

No. Tradewright handles the design, the proposal and the close. It works with Housecall Pro, Jobber, FieldEdge, ServiceTitan or no CRM, so you keep your existing scheduling and invoicing.

How much does HVAC proposal software cost?

Listed prices on October 16, 2026 ranged from free (PandaDoc Free eSign) and $49 a month (OnCall Air Starter) to $199 per seat per month (Tradewright Starter). ServiceTitan and FieldEdge do not publish prices. See each product above for details.
